Perform administrative functions requiring independent judgment and timeliness of projects given in order to enhance the effectiveness of the department and the organization as a whole. Provide support in functional areas which may include filing, special copying projects, billing, scheduling of staff, resolving customer service concerns and other general administrative duties as required.

Essential Duties and Responsibilities:

* Meet physical and sensory requirements stated below, and be able to work in the described environment.

* Identify and participate in process improvement initiatives that improve the customer experience, enhance work flow, and/or improve the work environment.

* Management duties including, but not limited to, hiring, interviewing, training and developing, coaching and counseling, performance evaluations and terminating department staff, as deemed necessary.

* Ensure that corrective action is administered fairly and without regard to race, color, religion, gender, sexual orientation, national origin, age, disability, marital status, amnesty, or veteran status in accordance with applicable federal, state and local laws.

* Prepare caregiver work schedules for each calendar month, assign duties and find call-in replacements in order to meet corporate, state and federal staffing guidelines.

* Provide caregivers with schedules on a monthly calendar and assignment sheets.

* Input all schedules and schedule changes in Sandata including meals as assigned.

* Confirm schedules and meals in Sandata.

* Schedule services accordingly.

* Compare Service Delivery Records to Sandata for accuracy.

* Canvas clients for their specific needs, times, and days for service and follow up with clients on all services.

* Carry out additional administrative support, which may include maintaining client medical records, assisting with scheduling or job assignment, and preparing special reports.

* Work with Billing Coordinator to assist in billing each month including Billing Review Audit and billing clean up.

* Assist with collection of billing and provide follow up accordingly.

* Maintain communication with MCOs.

* Assist with managing labor.

* Manage software program, Sandata, to ensure compliance with corporate, state and federal guidelines.

* Maintain detailed records.

* Complete PERS installations, as assigned.

* Complete and maintain Freezer Temperature Logs, as assigned.

* Follow up with homecare aides to be sure they have accurate information to service the clients.

* Schedule appointments and coordinate transportation as needed.

* Assist with tracking attendance.

* Assist with Stakeholder Engagement and recognition programs.

* Assist with coordination/management of workers compensation claims and transitional duty.

* Participate in Safety Committee Meetings.

* Assist with completion of incident reports, critical incidents and investigations.

* Assist with presenting in-services and Stakeholder monthly meetings.

* Assist with completion of coaching/counselings, performance evaluations, performance improvement plans and terminations as needed.

* Complete Quarterly Customer Surveys.

* Operate paging/telephone system, as required.

* Answer telephone and handle appropriately.

* Receive inquiries and release information in accordance with established policies and procedures.

* Provide information to visitors, guests, residents, sales representatives, etc.

* Assist with administrative duties, as directed (such as: typing, filing, posting accounts, etc.).

* Receive, sort, and distribute mail, as directed.

* Operate copier, office machines, etc., as directed.

* Operate computer, as directed.

* Order supplies, as directed.

* Assist department directors in administrative matters (i.e. typing reports, correspondence, etc.).

* Attend in-service education programs in order to meet educational requirements.

* Participate in the Quality Assurance and Quality Improvement plan processes.

* Rotate On Call.

* Other special projects and duties, as assigned.

Job Requirements:

* High school diploma or GED required or equivalent related work experience.

* One (1) year of basic clerical experience or six (6) months of directly related experience involving office functions.

* Familiar with all office equipment, such as fax, copier, FedEx machines, etc.

* Effective verbal and written English communication skills.

* Demonstrated basic to intermediate skills in Microsoft Word, Excel, Power Point and Outlook, Internet and Intranet navigation.

* Highest level of professionalism with the ability to maintain confidentiality.

* Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.

* Customer service oriented with the ability to work well under pressure.

* Strong attention to detail and accuracy, excellent organizational skills with ability to prioritize, coordinate and simultaneously maintain multiple projects with high level of quality and productivity.

* Strong analytical and problem solving skills.

* Ability to deal with new tasks without the benefit of written procedures.

* Approachable, flexible and adaptable to change.

* Function independently, and have flexibility, personal integrity, and the ability to work effectively with stakeholders and vendors.
